What type of data do we record?

The employer provides us with certain personal details for every employee who uses Teamshape; things like their first and last names, personal ID number, email address, the business unit in which they work, the type of work they perform, and whether they have a managerial position. We also collect the answers that the employee gives in the wellbeing and employability analysis. This analysis gives the employer a better understanding of how the work can be improved and made more enjoyable.

Which results are shared with the employer?

The employer receives only an anonymised summary of the data at group level. The answers are not linked to individual personal data and cannot be traced back to individual employees. Information on a group is only provided if at least fifteen employees are taking part. In cases where there are fewer participants, this information is integrated into reporting on a larger group, e.g. at organisational level.

Answers to open questions are reproduced literally in the anonymised summary. Here, too, the organisation cannot see who has given which answer. The anonymised answers are also used for analyses such as benchmarks and trend reports, enabling comparisons of departments or organisations. Regardless of the situation, data and answers can never be traced back to individual employees.

 

Our agreements

We consider the security of personal data to be of the utmost importance, which is why we have made clear agreements on the strict protection of personal information.

Our privacy statement clearly indicates the purposes for which we process personal data. We never collect more personal data than is necessary for these purposes and we ask the data subject’s consent, if required, to process the data we collect. We do not pass personal data on to third parties unless this is necessary in order to provide the requested service or we are legally obliged to do so. In such instances we make clear agreements with the third party to ensure that they will not use the personal data for other purposes either.

In addition, we take appropriate security measures for the protection of personal data. We require the same of parties who process personal data on our instructions. Finally, we respect the right of all employees working with Teamshape to access, rectify or delete their own personal data.

Only with consent

We do not process any individual employee’s data without that person’s consent. A data subject is the owner of the data collected on them and has all the rights set out in the EU General Data Protection Regulation (GDPR) and as directed by the Dutch “Autoriteit Persoonsgegevens (AP)”. We always report our processing of personal data to the AP. In addition, we ensure that our employees sign a confidentiality agreement stating that they will handle Teamshape users’ personal data with due care.

Information security

Both Teamshape’s organisation and IT system have been certified for ISO 27001, the international standard for information security, since 2017. All personal data is encrypted with SSL (Secure Socket Layer) technology, ensuring that no unauthorised persons can access the data. Our servers are secured according to the latest standards and guidelines for data security and are regularly checked by external security specialists.
